Add a free form product to a quote or order

When creating a quote or an order in DecoNetwork, there are situations where you may need to include an item that isn't predefined in your system. These items, known as free-form products, can encompass anything—from unique items to specialized services—that aren't typically part of your regular catalog.

Adding a free-form product provides flexibility and efficiency in your sales process. It allows you to swiftly include diverse items without the need to define them extensively within your catalog. This feature proves invaluable when handling bespoke requests, one-time purchases, or items that do not require permanent catalog inclusion. This capability empowers you to generate impressive quotes that are fully backed by a robust client management process to monitor and follow up on each quote.

In this tutorial, we will walk you through the steps to add a free-form product to a quote or an order in DecoNetwork, ensuring you can handle any product request quickly and efficiently.

To add a free form product to a quote or order:

1. Load Business Hub and create a new quote or order.
2. Click on the Add Free Form Product button.
   

   A free form line item is added.

3. Click in each field of the line item to type a name, color, quantities by size, decoration description, and unit price for the product.
   
   • Clicking in the Size/Qty or the Qty field will display a dropdown table allowing you to enter quantities for each size. The Size/Qty dropdown will show all sizes that have been defined and are turned on for the free form product group. Click here for more information about the free form product group.
     

     The quantity and line total will be calculated automatically as you enter the quantities.

     
   • You can define a new size by clicking the Define New Size button.

     The Define New Size popup will be displayed.

     If no sizes are defined for free form products, the popup will contain fields as follows:

     

     If sizes have been defined for free form products, the popup will contain additional options as follows.

     
     • Reuse Existing Size: lets you choose a size that has previously been defined for free form product items that have been marked as reusable.
     • Define New Size: lets you create a completely new size for the free form product item.
       • Size Name: Enter a name for the new size.
       • Size Code: Enter a code for the new size.
       • Size can be reused: tick this checkbox if you want this size to be reusable for future free form product items.

     New sizes defined for free form products will be added to the Size/Qty list for the free form item and will be available in the "Reuse Existing Size" list for future free form items added in Business Hub if the "Size can be reused" checkbox is ticked.

     You can manage the Reusable Freeform Sizes list from the Sizes page by removing unwanted sizes. Go to Admin > Products > Sizes > Reusable Freeform Sizes to manage the list.

4. Optionally, specify the package shipping dimensions for the product if you want the system to calculate the required shipping package sizes for live shipping methods.
   1. Click on the cog icon beside the line item and select shipping dimensions from the drop-down menu.
      
   2. Enter the package Weight, Width, Height, and Length for the product in the Dimensions popup.
      
   3. Click OK.
5. Save the quote/order.
