GDPR Data Consent Options

The EU General Data Protection Regulation (GDPR) mandates that personal data must be stored on servers within the EU, unless certain conditions are met. User consent is mandatory for data to be stores outside of the EU. Since DecoNetwork's data servers are located outside of the EU, we have implemented the GDPR Data Consent feature to ensure compliance. This feature allows your customers to grant consent for storing their personal data outside of the EU. This tutorial will guide you through the steps to enable the GDPR data consent feature in DecoNetwork, helping you stay compliant with EU data protection regulations while managing consent for data storage.

To GDPR data consent settings:

1. Log into your DecoNetwork Website.
2. Browse to Admin > Websites.

   

   

3. Select GDPR Data Consent Options.
   

   The GDPR Data Consent Options page is displayed.

4. Tick/untick the Capture data consent from your customers checkbox to enable/disable GDPR data consent as required.
5. Click Save.

   With the setting turned on, customer consent will be captured at various points in the registration and checkout processes.

   1. User Registration
      • When registering a new user, whether through the direct registration page or the checkout page, users must tick the consent box to approve the storage of their personal data outside the EU.
      • The consent is mandatory. Without ticking the box, the registration process will not proceed.
   2. Checkout Process
      • During the checkout process, users will be prompted to provide their consent on the Address page.
      • If the user has already provided consent (either during a previous registration or checkout), they will not see the consent prompt again.
   3. Existing Users
      • If an existing user logs in and has not yet provided consent, they will be redirected to the User Account area.
      • A prompt will appear in the Billing Details popup, asking the user to consent to the storage of their data outside the EU.
   4. Tracking Consent
      • Once consent is given, the system stores the following information:
        • Date/Time of consent
        • IP Address from which consent was given
        • Source of consent - user ID if consent performed by a customer in the storefront and user full name if consent performed by staff in Business Hub

To manage customer GDPR data consent in bulk:

1. Log into your DecoNetwork Website.
2. Browse to Business Hub > Customers.

3. Click on the cog icon at the top right of the Customers table.
   
4. Tick the GDPR Data Consent checkbox.

   This will display the consent status for each customer (whether they have consented or not).

   You can filter the customer list by GDPR consent to see who has and has not consented.

   
5. Use the checkbox beside each customer’s name to select the customers you want to manage consent for.
   
6. Select GDPR Data Consent in the Customer Actions menu.
   
7. Click OK to bulk grant GDPR data consent for the selected customers.
   

To manage GDPR data consent for individual customers:

1. Log into your DecoNetwork Website.
2. Browse to Business Hub > Customers.

3. Select the customer you want to manage consent for.

   The customer's page is displayed.

4. Click on Edit Customer Details.
   
5. Tick the Allow customer details to be stored outside the EU checkbox.
   

   Note, you will not be able to proceed if you do not tick the checkbox.

   
6. Click OK.

To set the GDPR consent for all imported customers:

1. Log into your DecoNetwork Website.
2. Browse to Business Hub > Customers.
3. Click on Import Customer CSV.
   

   The Import Customers popup is displayed.

4. Tick the Grant GDPR data consent for customers checkbox.
   

5. Click on the Browse... button.

6. Locate your customers.csv file and click Open in the File Upload dialog.
7. Click OK.
