Create extra charges in DecoNetwork to add one-off, business-specific fees to a quote or order in Business Hub, such as a color change or a bagging and tagging fee. Extra charges are per-unit and aren't tied to a specific line item automatically, so once you understand how quantity and line-item association work, you can add them confidently to any quote or order.

Prerequisites
- You must have Administrator access.
- Know which of your decoration processes already account for similar charges under Decoration Pricing, so you don't create a duplicate.
Why use this feature?
DecoNetwork already calculates many production charges automatically as part of a decoration process, such as a screen setup fee for screen printing or an artwork fee for embroidery digitizing. Extra charges exist for everything else: the ad hoc or business-specific fees that aren't tied to a particular decoration process, like a color change or a bagging and tagging fee. Because an extra charge is per-unit and isn't linked to a line item automatically, you stay in control of exactly how much is charged and what it's for.
- Bill for one-off services without building new pricing rules
- Keep ad hoc fees separate from automatic decoration pricing
- Create charges on the fly while quoting, without breaking your workflow
- Make charges traceable to a specific product line when needed
Create an Extra Charge
- Log in to your DecoNetwork website.
- Browse to Admin → Settings.
- Select Extra Charges.
- Click New Extra Charge to add a new extra charge.
- Enter a Name, for example Color Change or Bagging and Tagging.
- Optionally, enter a Description.
- Enter the unit price, for example $15 or $50.
- Click Save.

Add an Extra Charge to a Quote or Order
- Open or create the quote or order in Business Hub.

- Choose the extra charge you created, for example Bagging and Tagging.
- Save the quote/order.

The charge is added as its own entry at the unit price you set, defaulting to a quantity of 1, separate from any product line item.
Adjust the Quantity and Associate It with a Line Item
- Extra charges default to a quantity of 1 and are never multiplied automatically. If the charge should apply to every unit on a line, for example all 10 shirts, manually update the Quantity field to 10.
- If you want the charge to be clearly tied to a specific product line, click the cog icon at the end of the extra line item and select Associate with line items, tick the line in the Associate Extra Charge With Line Items popup, and click OK.
- Save the quote/order.

- Click OK.

This lets you respond to an unexpected charge mid-quote without leaving the screen you're working on, while still keeping your Extra Charges list up to date for next time.
Best Practices
- Reserve extra charges for one-off or business-specific fees, not for charges Decoration Pricing already calculates automatically.
- Since quantity is never automatic, always double check it matches how many units the charge should apply to.
- Use Associate with line items when a charge is specific to one product, so staff reviewing the quote or order can see the connection.
- Save frequently used on-the-fly charges as permanent so you don't have to recreate them each time.
Troubleshooting
Problem: An extra charge only applied to 1 unit instead of the full order quantity.
Cause: Extra charges default to a quantity of 1 and are never multiplied automatically based on the line item's quantity.
Solution: Click in the Qty field of the extra charge on the quote or order and manually update the quantity to match.
Problem: A customer was charged twice for the same fee, such as a screen setup fee.
Cause: An extra charge was added manually for something the decoration process already calculates automatically through Decoration Pricing.
Solution: Remove the manual extra charge and confirm the fee is configured correctly under the decoration process's pricing instead.
Problem: An extra charge created during a quote isn't available on other quotes.
Cause: It was added on the fly without ticking the option to save it as permanent.
Solution: Recreate it under Admin → Settings → Extra Charges, or tick the save-as-permanent option next time.
FAQs
What's the difference between an extra charge and a decoration pricing fee like a screen setup fee?
Decoration pricing fees, such as a Screen Setup Fee for screen printing or an Artwork Fee for embroidery digitizing, are calculated automatically whenever that decoration process is used. Extra charges are added manually by staff for charges the system doesn't already track, such as a color change or a bagging and tagging fee.
Does an extra charge automatically multiply by the line item's quantity?
No. Extra charges are per-unit, and the quantity is never automatic. If a charge should apply to all 10 units on a line, you need to manually set the quantity to 10.
What does associating an extra charge with a line item actually do?
It links the charge to a specific product line so it's clear what the charge relates to when reviewing the quote or order. It doesn't change the amount charged or multiply it by the line's quantity.
Can I create an extra charge while I'm already building a quote or order?
Yes. Select Add Extra Charge, enter the details on the fly, and tick the option to save it as permanent if you want it available for future quotes and orders too.
