Void/Reverse Payment
Under ConsiderationThere needs to be a better option than selecting “Refund” when a payment needs to be reversed or removed from an order.
For example, we recently received a check that was returned due to NSF. In this situation, the payment was originally received and entered, but the payment is no longer valid because the bank returned the check. I need to be able to void or reverse the original payment so that the payment is removed from the account and the customer’s outstanding balance is restored.
Currently, the only apparent option is to mark the payment as a “Refund.” However, a returned/NSF payment is not a refund. We did not refund money to the customer—the payment was simply unsuccessful and needs to be reversed.
This creates significant issues with reporting and financial records. Having an NSF or otherwise invalid payment recorded as a “refund” makes the transaction history misleading and can make reports appear as though money was intentionally returned to the customer when that did not happen.
I strongly recommend adding a separate “Void Payment,” “Reverse Payment,” or “Payment Reversal” function. This would allow users to:
- Reverse a payment that was returned or entered incorrectly
- Restore the customer’s outstanding balance automatically
- Maintain an accurate transaction history
- Distinguish between an actual customer refund and a payment that was voided/reversed
- Keep financial and payment reporting accurate
This seems like an important accounting and reporting capability, particularly for businesses that accept checks and ACH payments. A payment reversal should be treated differently from a customer refund, and having separate functionality for these two situations would make Deco Network significantly more useful and accurate for financial recordkeeping.
