Integrating cloud storage with the Production Files Sync app allows DecoNetwork to automatically copy production-ready artwork files, worksheets, and supporting assets into your connected storage account for easier production access and collaboration. Once configured, the system remembers your selected storage provider and automatically progresses eligible production files through the workflow whenever orders reach the production-ready stage.
This article explains how to configure Dropbox as the storage provider for Production Files Sync in DecoNetwork. You will learn how to connect your Dropbox account, authorize access, and understand how production files are organized and synchronized as orders progress through production workflows.

Prerequisites
Before configuring Dropbox Production Files Sync:
- You must have Administrator and/or Production Manager permissions.
- You must have already configured the Production Files Sync app.
- You must have an active Dropbox account.
Why Use Production Files Sync with Dropbox?
Connecting Dropbox to Production Files Sync helps automate the movement of production artwork files from DecoNetwork into your production environment. Instead of manually downloading files for each order, the system automatically pushes files into Dropbox as orders become ready for production.
Once configured, DecoNetwork retains these synchronization instructions and applies them automatically as production workflows progress. This helps ensure production teams always have access to the latest files without requiring manual intervention at each stage.
- Automatically sync production files when orders become production-ready
- Centralize worksheets, artwork, and output files in Dropbox
- Improve collaboration between production staff and remote teams
- Reduce manual downloading and file management tasks
- Maintain a structured folder system organized by order
- Ensure updated production files can be regenerated and re-synced if required
Configure Dropbox Production Files Sync
- Log into your DecoNetwork website.
-
Browse to Admin → Settings → Production & Order Settings → Production Files Sync.
-
Click Activate Now in the panel of the storage provider of your choice.
-
In the Connect To Dropbox configuration screen, click on the Connect button.
If you are not already signed in to your Dropbox account, the Dropbox Sign In page will be displayed.
-
Enter your credentials to sign in or create a new account if you do not already have an account with Dropbox.
Once signed in, the Dropbox/DecoNetwork File Sync authorization screen will be displayed.
-
Click Allow.
By clicking allow, you are authorizing the DecoNetwork Files Sync app to have access to a folder called "DecoNetwork Files" in your Dropbox account.
If the connection is successful, you will be redirected back to the Production Files Sync page in your DecoNetwork Fulfillment Center and the Dropbox panel will show the status, "Currently Active".
Configure production files sync options
You can configure additional files to be included when production files are synchronized. These settings tell DecoNetwork which supporting files should move forward with the production files when synchronization occurs.
- Scroll to the Production File Sync Options section.
-
Configure the available options as required:
- Sync alternate format production file: includes alternate production output formats when available
- Sync source files: includes original uploaded artwork and source files in the synchronized folders
Configure additional files synchronization options
Note: Source files are especially useful when artwork revisions or re-outputting production files may be required during production.
Configure when production files are synced
You can control when DecoNetwork sends production files to Dropbox. This setting becomes part of the workflow instructions DecoNetwork uses to determine when production assets should progress into the production files synchronization stage.
- Scroll to the Production File Sync Status section.
-
Select one of the available synchronization timing options:
-
As soon as production files are ready for download
Production files are synchronized immediately after they are generated. Use this option when your production team can begin working from generated files without waiting for additional order readiness checks. -
Once order is ready for production (payment req. met, PO ordered/received, and artwork approved)
Production files are synchronized only after all production requirements have been satisfied. Use this option to help prevent files from being distributed before payment, purchasing, or artwork approval conditions have been completed.

As soon as production files are ready for download
- Click Save. DecoNetwork will begin applying the selected synchronization rules to newly generated production files.
How Production Files Are Synced
Production files are synchronized automatically after all items within an order become ready for production.
The system creates a structured folder layout inside Dropbox to help organize files for production teams.
- A parent folder named DecoNetwork Files is created in Dropbox
- A separate sub-folder is created for each order
- The order folder contains worksheets and item production folders
- Each production item folder contains relevant artwork and production output files
If alternate production formats or source artwork files are enabled, those files are also synchronized automatically based on the decoration workflow configuration for the order.
If multiple artworks exist for a decoration process, DecoNetwork creates separate source_artwork folders to maintain proper organization and workflow separation.
Re-Sync Production Files
If production files fail to sync correctly or need regeneration after artwork changes, you can re-sync the files from Business Hub.
- Open the production item in Business Hub.
- Use the Force graphics regeneration command.
This instructs the system to regenerate and re-progress the production files through the synchronization workflow again.
Best Practices
- Use a dedicated Dropbox account or shared production folder for staff access control
- Ensure production staff understand the folder structure used for synced orders
- Regularly monitor Dropbox storage capacity if syncing large artwork files
- Use consistent production workflows so files sync at predictable workflow stages
- Re-generate production graphics after artwork updates to ensure the latest files are synced
Troubleshooting
Production files are not appearing in Dropbox
- Confirm Dropbox shows the status Currently Active
- Verify the order items are fully ready for production
- Check that Production Files Sync has been configured correctly
- Try using Force graphics regeneration from Business Hub
Dropbox authorization failed
- Ensure you are signing into the correct Dropbox account
- Verify your browser is not blocking Dropbox authorization popups
- Disconnect and reconnect the Dropbox integration if necessary
Some artwork files are missing
- Check whether alternate file formats or source artwork synchronization is enabled
- Verify the production files were successfully generated for the order item
- Re-save the order or regenerate graphics to trigger re-synchronization
FAQs
When are production files copied to Dropbox?
Production files begin syncing once all items within the order are ready for production.
Can I re-sync files after they were deleted from Dropbox?
Yes. Re-saving the order or using Force graphics regeneration can trigger the files to sync again.
Does Dropbox sync source artwork files?
Yes. If source artwork synchronization is enabled, source artwork files will also be copied into Dropbox.
Will existing orders sync after connecting Dropbox?
Only new eligible production events triggered after activation will automatically sync. Existing orders may require graphics regeneration or reprocessing to sync files.
